“What information does Kasané actually have?”
Information we collect
If you visit our site: the messages you send us, booking details if you schedule a call, and basic technical and analytics data.
If you work with us: your organization’s name and contact details, billing details, onboarding answers, portal accounts and activity, chat messages, tasks, delivered files, approvals and usage records.
Your work with your assistant: the emails, messages, documents and background you give your assistant so it can do the work, the drafts, research and finished work it produces, and the record of what your team approved.
Services you connect: account identifiers, the permissions you granted, and the access needed to run an integration you have approved.
“What do you do with it?”
How we use information
We use it to answer your questions and prepare for our first conversation, to set up and train your assistant, to run your portal, to do the work you request, to send the messages and notifications you’ve approved, to keep the service secure and keep a record of the work, to handle billing, and to make Kasané better.
Some AI providers process prompts and outputs so they can provide their part of the service. We never sell your data.
“Who else touches our data?”
Who processes information
We rely on a small set of infrastructure and software providers. Each one handles data only as needed to provide its part of the service.
- Hosting and database
- Email and message delivery
- AI model providers
- Payment processing
- Analytics and monitoring
- File and document services
Card details are handled by our payment processor. We never store them ourselves.
“What are the hard lines?”
What we never do
- Sell your data, or share it with other clients.
- Send messages as you. Anything in your name is a draft you approve and send yourself.
- Contact your donors, members or volunteers in ways you haven’t approved.
- Publish your work without your approval.
- Ask you to send passwords or keys by email or chat.
- Keep every client’s files in one shared space that every assistant can see.
- Claim security certifications we haven’t earned.
“What happens to our information if we leave?”
Keeping and deleting information
We keep your information while you’re working with us and while we need it to provide the service, keep a record of the work, resolve support questions, or meet business and legal obligations.
If you stop working with us, we export your work for you and remove your active data once you’ve confirmed the export. Backup copies age out on our normal backup cycle. The exact timing, the export steps, and any records we must keep for accounting or legal reasons are confirmed in your agreement.
“What can we ask for?”
Your choices
You can ask for a copy of your data and work, ask us to correct account details, ask us to delete your active data when you leave, revoke a connected service’s access at any time from inside that service, and ask us to stop or change any workflow that uses your information.
“Is there anything we shouldn’t send?”
Sensitive information
Kasané is a service for organizations and isn’t meant for children. Many of the organizations we work with serve young people and other vulnerable groups, so if your work involves their information, tell us first and we’ll scope it together.
Please don’t send passwords, personal financial account details, health records or other highly sensitive regulated information unless we’ve agreed in writing that the work needs it.
“Will this change?”
Changes to this policy
We may update this policy as the service, our providers or the law change. We’ll tell active clients about any meaningful change. For questions about privacy, or to request a copy or deletion of your data, write to team@hellokasane.com.
